Creating Your First Agent
After signing up and completing the onboarding, you are ready to create your first AI agent. Agents are the core of OutSales -- each one monitors a specific type of activity in Pipedrive and automates the follow-up process.
Before You Start
Make sure you have:
- An active Pipedrive account with deals and activities
- A Gmail account you want to send emails from
- At least one activity type configured in Pipedrive (e.g., "Email", "Follow-up")
The Agent Creation Wizard
The wizard walks you through three steps: selecting an agent type, connecting integrations, and configuring settings.
Step 1: Select Agent Type
- If you have no agents yet, the wizard opens automatically after onboarding.
- To create additional agents later, click the + New Agent button on the Agents dashboard.
- Choose the type of AI agent you want to create from the available options. Each type has a name and description explaining what it does.
- Click Continue.

Step 2: Connect Your Software
- OutSales will check whether the required integrations are already connected.
- You need to connect both your CRM (Pipedrive) and Email (Gmail).
- Click Connect next to any integration that is not yet connected.
- A popup window will open for OAuth authorization. Log in and grant access.
- Wait for the green "Connected" badge to appear next to each integration.
- Once all integrations show as connected, click Continue.

If an integration token has expired, you will see a yellow Reconnect button instead. Click it to re-authorize.
Step 3: Configure Your Agent
- Agent Name -- Give your agent a descriptive name (e.g., "Sales Follow-up Agent" or "Enterprise Deals Agent").
- Trigger Activity Type -- Select which Pipedrive activity type will trigger this agent. All active activity types from your Pipedrive account are shown as selectable cards.
- Agent Settings -- Configure the available toggles and options:
- Follow-up interval -- How many days between follow-ups
- AI dynamic interval -- Let the AI determine optimal timing for each follow-up instead of a fixed schedule
- Approve follow-ups -- Whether you want to manually review emails before they are sent
- Additional settings specific to the agent type
- Click Create Agent when you are ready.

A loading overlay will appear while the system creates your agent and syncs existing activities from Pipedrive. This may take a moment depending on the number of activities in your pipeline.
What Happens After Creation
Once your agent is created:
- You are redirected to the Agents dashboard where your new agent is listed.
- The agent immediately starts monitoring Pipedrive for new activities of the selected type.
- Existing activities that match the trigger type are queued for processing.
- AI begins generating follow-up emails based on the CRM context for each activity.
Tips for Your First Agent
- Start with approval enabled -- Turn on the "Approve follow-ups" setting so you can review every email the AI generates. This helps you understand the quality and make adjustments before anything is sent.
- Choose a specific trigger type -- Pick a single activity type (like "Email") rather than trying to capture everything at once.
- Give it a clear name -- If you plan to create multiple agents, descriptive names help you stay organized.
- Check your activities -- After creation, open your agent and look at the Activities tab to see the synced items and their processing status.
