Pipedrive Integration

How to connect, use, and manage the Pipedrive CRM integration in OutSales.

Pipedrive Integration

Pipedrive is the primary CRM integration for OutSales. Your agents monitor Pipedrive for new activities and use deal, contact, and organization data to generate personalized follow-up emails.

What the Integration Does

When connected, OutSales accesses your Pipedrive account to:

  • Monitor activities -- Detect new activities of the type your agent is configured to watch (e.g., "Email" activities).
  • Pull CRM data -- Retrieve deal details (title, value, currency, status), contact information (name, email, company), organization data, and notes.
  • Read email threads -- Access previous email conversations associated with deals for context in email generation.
  • Create activities -- Schedule the next follow-up activity in Pipedrive after an email is sent.
  • Mark activities complete -- Update activity status in Pipedrive when the follow-up cycle is finished.
  • Fetch activity types -- Load your custom Pipedrive activity types so you can select which one to monitor.

Connecting Pipedrive

During Onboarding

When you create your first agent, the setup wizard prompts you to connect Pipedrive:

  1. On the Connect Software step, click the Connect button next to Pipedrive.
  2. A popup window opens with the Pipedrive OAuth authorization page.
  3. Log in to your Pipedrive account (if not already logged in) and authorize OutSales.
  4. The popup closes automatically and the wizard shows a green checkmark confirming the connection.

From Settings

If you need to connect or reconnect Pipedrive later:

  1. Go to Settings > Integrations.
  2. Find the Pipedrive card.
  3. Click the Connect button.
  4. Complete the OAuth authorization flow in the popup window.
  5. Once connected, the card shows a green "Connected" status.

How Data Flows

Once connected, data flows between Pipedrive and OutSales automatically:

  1. Activity detected -- When a new activity matching your agent's trigger type is created in Pipedrive, OutSales picks it up.
  2. Data collected -- OutSales pulls all related CRM data: the deal, person, organization, notes, and email threads.
  3. AI processes -- The collected data is used to generate the follow-up email, calculate closing probability, and plan the next activity.
  4. Email sent -- After approval (if enabled), the email is sent via your connected Gmail account.
  5. Pipedrive updated -- The original activity is marked as completed, and a new follow-up activity is created in Pipedrive with the AI-planned details.

Activity Types

OutSales fetches your Pipedrive activity types directly from your account. These include both default types (Email, Call, Meeting, etc.) and any custom types you have created in Pipedrive.

When configuring an agent, the Trigger Activity Type dropdown lists all available types. Select the one your agent should monitor.

Disconnecting Pipedrive

To disconnect the Pipedrive integration:

  1. Go to Settings > Integrations.
  2. Find the Pipedrive card (showing "Connected" status).
  3. Click the Disconnect button.
  4. A confirmation dialog appears warning that disconnecting will affect your agents' ability to process activities.
  5. Click Disconnect to confirm.

After disconnecting, your agents will not be able to process new activities until the integration is reconnected. Existing activity data in OutSales is preserved.

Troubleshooting

Token Refresh Issues

OutSales automatically refreshes your Pipedrive OAuth token to maintain the connection. If you encounter authorization errors:

  1. Try disconnecting and reconnecting Pipedrive from Settings > Integrations.
  2. Make sure you are authorizing with the same Pipedrive account that has access to the relevant deals and activities.

Missing Activity Types

If your custom Pipedrive activity types do not appear in the agent settings dropdown:

  1. Refresh the page to trigger a fresh load of activity types from Pipedrive.
  2. Verify the custom type exists in your Pipedrive settings.

Activities Not Being Detected

If new activities are not being picked up:

  1. Confirm the agent is set to Active in the Settings tab.
  2. Verify the correct activity type is selected as the trigger.
  3. Check that the Pipedrive integration is connected (Settings > Integrations).

Tips

  • Use specific activity types -- Create a custom activity type in Pipedrive specifically for OutSales follow-ups to avoid conflicts with other workflows.
  • Keep CRM data complete -- The more data available in Pipedrive (notes, email threads, deal details), the better the AI-generated emails will be.
  • One agent per activity type -- Avoid having multiple agents watch the same Pipedrive activity type to prevent duplicate processing.
