How to regenerate AI-generated content for activities in OutSales when you want a fresh email draft.
Regenerating Activities
Sometimes the AI-generated email may not be exactly what you want, even after editing. In those cases, you can regenerate the activity to have the AI create a completely new email draft from scratch.
What Regeneration Does
When you regenerate an activity, OutSales:
- Resets the activity stage back to Pending.
- Clears all AI-generated content -- the follow-up email subject and body, the closing probability score and message, and the planned next activity details.
- Reprocesses the activity through the full AI pipeline, pulling fresh CRM data and generating new content.
This is useful when CRM data has been updated since the original generation (new notes, updated deal value, recent replies) and you want the AI to incorporate those changes.
Regenerating a Single Activity
To regenerate one activity from the Activity Drawer:
- Open the activity by clicking its row in the Activities table.
- In the Activity Drawer, locate the Regenerate button (circular arrow icon) in the action buttons area.
- A confirmation dialog appears asking: "Are you sure you want to regenerate this activity? This will clear all AI-generated content and reprocess the activity."
- Click Regenerate to confirm.
The activity stage changes to Pending and the AI pipeline begins reprocessing. Depending on queue volume, the new content typically appears within a few minutes.

Bulk Regeneration
You can regenerate multiple activities at once:
- On the Activities tab, select the activities you want to regenerate using the checkboxes.
- The bulk action bar appears at the top of the table.
- Click the orange Regenerate button in the bulk action bar.
- All selected activities will be reset to Pending and their AI-generated content will be cleared.
The AI will reprocess each activity from scratch, pulling the latest CRM data for each one.
When to Regenerate
Consider regenerating an activity when:
- CRM data has changed -- New notes were added, deal value was updated, or the contact replied since the email was generated.
- The email quality is poor -- The AI draft does not meet your expectations and editing would be more work than starting fresh.
- You updated your prompts -- After customizing your AI prompts in the Settings tab, regenerating existing activities will use the new prompt configuration.
- Knowledge base was updated -- If you uploaded new documents to the Knowledge Base, regenerating will incorporate that information.
Important Notes
- Regeneration counts as a new processing cycle. Each completed activity uses one credit from your monthly allowance.
- If your account has a billing issue (past-due payment), regeneration will be blocked with a message directing you to update your payment method.
- Activities in certain stages (Sent, Completed, Replied) should generally not be regenerated, as the email has already been delivered.
- After regeneration, the activity goes through the full pipeline again: data collection, email generation, probability calculation, and next activity planning.
Tips
- Check recent CRM updates first -- Before regenerating, make sure the CRM data reflects what you want the AI to use. Add notes or update the deal if needed.
- Review your prompts -- If multiple regenerated emails still do not meet your standards, consider adjusting the AI prompts in the agent's Settings tab rather than regenerating repeatedly.
